Be sure to chat with the potential member before giving the entry test, to see if he/she will fit in. Is he courteous, including patient, and will he uphold the idea of honor? If you can game with the person first, this is even better, as personality very quickly comes out in gaming. Does he have a working knowledge of the LotR books? Full members must have read LotR.

Absolutely no spamming! Spam is a horribly aggravating thing to have in any channel and does not reflect well on our guild.

A name not already in use is required before full membership can be given. Check the Members, Names, and Recruiter pages to be sure.

Who may scout for new members?

Any member who has studied the handbook may scout. The test may only be given by Maia or Vala honor members. A scout or two and a tester intentionally working together is a perfect and rare team.

How do I scout?

    Back up your scouting Valar character first. (This was for Diablo 1.)
    If possible, have a tester available, perhaps one who can come out of a game if you have a prospect (most common), or who travels with you, or who likes to sit in the channel (rare). Or you can pass the tests the Valar honor people can give to be a tester yourself. :) The most fun can be going in teams of several people to scout and test, but single scouts are the norm. This is something to do when you notice you need more guild people on at your time to play with!
    A. You are playing games or chatting with non-guild people and notice a prospect! The prospect may have a Tolkien name, although Gandalf and Aragorn are commonly used by people who know very little, so other names are more hopeful. (After the movies, add Legolas and Gimli to the less-hopeful names.) He/she may comment on your Tolkien name. You may notice a person who is kindly to others, then ask him if he's read LotR and chat with him a bit, sometimes even work all five questions of a test in if you're a tester and have it nearly done.
    B. You are hunting prospects in Battle.net (adaptable elsewhere). Go to a Bnet channel or do a /who <channel>. Look for a Tolkien name, as that is an obvious sign of Tolkien interest for our Tolkien fan club guild. Read his description. If vulgar, he is probably not guild material.
    Whoops. No Tolkien names. Listen to the channel and see if anyone there seems worth approach. (You may need eyewash afterwards.) Don't spam. Remember how you hate someone else doing it? Once maybe, but not over and over.
        Be polite! In your guild character and as a scout, you are the representative of the Valar Guild, not just of yourself. The person may be testing you to test the guild, or someone else may be impressed with your behavior and contact you, or send someone your way.
    Hmmm. No interesting talkers and most are silent. You have at least two approaches: ask if anyone there is a Tolkien fan. Better yet, make a comment about something from the Lord of the Rings, perhaps mentioning the movies or even better something straight from the books not in the movies. If anyone responds intelligently, you are in good shape. If not, move on to another channel, or go find a soda, return, and see if the personnel of the channel changed.

Finding:
What to ask and to tell a prospective member:
    You are the Guild's first line of defense and of contact. Never visibly lose your temper with these people, remembering that you can easily leave with a mere tap of a button. That one gold nugget you find is worth a month of time sifting. We refuse to even contact a huge number of people, then accept only part of the ones we do contact. We reject more than we bring in, usually before reaching the stage of discussing the Guild seriously. We are not hurting for members. Don't feel pressured.
    Answer his questions with absolute honesty and courtesy. Of course don't tell him any private information that you don't want to give!
    Is he courteous? If not, walk away. This is not guild material and you don't have to subject yourself to continued abuse. Abusive habits usually show up in a short chat. But it is in a game where he doesn't know he's being evaluated that he'll really show what type of person he is. A Diablo 1 pk will turn on you and kill you at some point. Ninja looting may be a sign of a newbie solo player, but it's a strong warning sign. Other behavior will quickly tell you if he's new or used to solo only, and willing to learn proper sharing.
    Has he read the Lord of the Rings? This prevents wasting the time of scout, person, and tester. Required. He can group as a guild-friend while working his way through the books.
    Would he prefer the challenge of playing legit? Legit gaming uses no cheats such as duping, hacking, or stealing. Legits play the game to reach levels and gain their items in a way the game developers intended.
    Is he willing to start a guild character at Level 1?
    This requirement started in Diablo 1 to handle the extreme hacking and cheating problem, along with finding and mostly keeping legit items inside the group, but then we discovered other benefits.
     MMORPG's don't have the Diablo 1 hack problem but they also don't allow name changes. (Most games no longer allow name changes.) High level characters also take a very long time to develop. For those reasons, the player is allowed to bring in one outsider-named character. If the person makes a good enough case to the Council, he might be allowed to bring in another, but it's unlikely. After that first one, he needs to make characters with at least a far-out version of his guild name.This helps us recognize each other so real friendships develop. We can recognize each other even in games with no official guild branch and know we've found an honorable, trustworthy fellow gamer to group with or admire as a worthy opponent. When private channels are available for a game, we can each make a channel Valar to find each other, and to invite like-minded gamers called "guild-friends" even of other guilds.

   You have a prospect! He's courteous, likes Tolkien, legit gaming, and is interested in the guild. At this point, you can make him a guild-friend even if he's still working his way through LotR. If you're in-game, it's best if you've played with him first and know you would like meeting him again.
    If you're in-game, tell him how to enter the friend channel. In most games, the command is /join Valar . This lets your dialogue continue at a later date and lets you find each other for gaming again, even if he never joins.
    Give him the home page of http://valarguild.org. but www.valarguild.org will also work.
    Invite him to a meeting. You remember, Sunday 5pm EST, AIM channel Valar Guild Meetingplace. Give him your AIM name and show up. Let him know the Members page has our AIM names for his friend list. It is suggested to give him a chair's names: VardaValar1 and Eonwe Valar.
     Let him know we have a Forum (since many work during meetings), and that we have a web site including the News.
    If he wants to join and you are a Maia or Vala honor member, test him right then if you both have time. (Testers, see below.) If you are not a tester, try to drag one in. If none are available, tell him he can find one at every meeting and how to go to one. (You do know the meeting time and room name, as it is listed on the News page every week! And of course you go to meetings sometimes, to dig up a playing partner or chat Tolkien or hear the latest news or make comments and suggestions, or ask questions.) He may arrange a different time to visit you again.
    He doesn't want to join as a Full Member but loves Tolkien? Let him know about our huge ten-year old Tolkien Site and that he can look at it freely. Contributing to it makes him eligible to be a Tolkien-only member if he wants. Any Tolkien fan can write a simple original article by looking up info in the books. (Yes you can!) He can also try his hand at original art, humor, poetry, stories. He may be interested in contributing to the language section.

Who may test potential new members the scouts find?

Any Maia or Vala honor member who has studied the handbook may test. First tests should be conducted with an old hand along, as starting testers often make tests too hard or may fall for a snow-job until learning to recognize it. Testers often like to work in a team in case of real life or internet interruptions, as well as giving a greater variety of questions and a chance to discuss an answer in a side window or whisper. It also helps when the prospect has to leave for a while, so that the testers can take turns leaving or have someone to chat with.

What is the test?

        First a note to testers: be kind to your Scouts! They are sweating out there and being exposed to a lot of unpleasantness to bring you this one potentially gold nugget. When asked, come to give the test if you possibly can and be gracious about it; as well as helping the guild, you've been given an opportunity to perhaps meet a new friend and to enjoy talking Tolkien.
    Scouts may stay for the testing if they wish and if the prospect says it will not make him too nervous and if the scout can stay "quiet". The scout may whisper question suggestions to the tester, but not openly test unless he is a Maia. Answer your scout's questions in his side window or whisper. This helps train the scout to be a tester later. Also include a credit for the scout(s) in your report. It helps towards the scout's Maia credit and shows the Council that you understand teamwork. We are always on the lookout for potential Valar. If you're already a Vala, you understand.

    The entry test is four right out of five questions over the Lord of the Rings books, not including the Appendix. The test is not intended to be terrible, just to check if the prospect actually has read the book. Partial credit is allowed, including side information given that shows he did read that area even if not remembering the specific thing you asked. If he needs to re-read, then let him know and encourage him to play with you and try the test again later.

    What do I ask?
    Ask any questions off the top of your head, as long as they are in the Lord of the Rings books.
    Glorfindel and Tom Bombadil are not in the animated or movie versions, and are good to ask about. The famous Ulmo's Question #1 is "who is your favorite character and why? Give an example." They may have several, but their answers quickly let you know if they read the books and a little about the person. Ask something from near the end of the book, as they may not have finished reading. A lot of latitude is given in the entry test, as the person may not have read it in 15 to 20 years and is struggling to recall, sometimes against his memory of a movie. Correct spelling is optional, but needs to be recognizable.

    He can take the test as often as he finds a willing tester. Nerves or movie memory overlay can make the first test hard. Suggest scanning back over areas that were especially foggy.

    He is not an official member until he has a primary guild name for reference. Help him. The Encyclopedia may aid you both, or the indices. The name can come from absolutely anything by Tolkien. Check the Members page to see which names are already in use. A member owns all versions of that name. A Full Member and a Tolkien-only member can use the same name, as the honor tag is different: (V) for Full, (TV) for Tolkien-only.
    (TV)'s are those not interested in gaming but who like to help with the Tolkien site. (TV)'s can also use the Forum and come to meetings. To be a (TV), the person has to send an original work, using Tolkien's books as the reference, in to the Tolkien Site and have it accepted. The editor will help, so he is not alone. Also, members may work together on an entry and share credit.

    Fill in the report form information, especially how to contact by email and AIM. The tester should fill out the form. Testers often include an abbreviated list of questions used and a short form of the answer. If the test was on AIM, the tester has the option of attaching the saved dialogue. Forms are emailed to Varda so the member may be installed officially on the pages.

What are my responsibilities to the new member?

    Help him pick his new name, which should not be in current use by anyone else. Check the Members page and Names page. Naming may be the hardest part. Be sure he is listed on the Members page.
    Be honest and courteous, answering questions. Play with him if you can to show him the ropes and because he will probably be a good friend.
    Make sure he has the page, meeting place and time. Make sure he can get back in contact with the Guild and vice versa.
    He needs to get any passwords for games that need them from Varda, and needs to be reachable during year-end inactivity sweeps, so he needs working email or at least AIM contact.

How do I tell the guild about the new member?

Copy/paste the report form below to email. Fill it in from your handy notes. Email it to Varda who will pass it to the Council to be included on the various web pages where it needs to go, including the News, Recruiter's page below, and Membership pages. Eonwe handles the Games page.
The most important thing for the recruiter to do is find out the email. All else can be handled if we have that much.

    For the guild name, pick it together as soon as possible. There can be only one. Use the Names and Members pages for help concerning which names are already taken. The name must be from any of the Tolkien books. The person can't really be considered a true member without a name, as it is too difficult to work with for those of us who keep track and send emails.
    For Diablo, run your mouse over the person's icon for the account name for whispers. In other games, it is the name he's currently using.
    For the email, if he does not want it posted, say so and the Members page should show N/A or confidential.
    Frequency on bnet: is this a serious player?
    Age is nice, not absolutely required. We have no age requirement up or down if the person is courteous and read LotR.
    Gender. It is required now that the primary character name and real gender are the same, although the gaming character can be any gender or race.
    Country. Also nice to get the state of the USA or the province of Canada, but not required. This can help identify him when we have several members claiming the same name, perhaps an old one returned or two testers were working at the same time and both recruits picked Beorn.
    Time Zone If he doesn't know, in Diablo have him type /time to show local time. On any computer, he can go to the time in the right-hand corner, right-click, choose Adjust Date/Time, click the tab for Time Zone, and see it listed at the top.
    Books read. LotR required or he will be lost. Others helpful!
    Other guilds. Others ok, but the recruit may find himself with a time problem. He should check to see if his other guild allows double membership as we do. He must keep our guild and others separate.
    AIM name. This allows him to come to meetings and aids in other contact, including preventing his loss during inactivity sweeps.
    Games plays: What games is he interested in playing online? We need this for the Games page so that we can get together.
    Welcome Letter: has the tester sent a Welcome Letter and when? Say something to let him know you're glad he came. The letter tests the email as well as giving the new member a written record of the web page address and a way to reach you with questions.
    Comments. May say how he came to the Tester: scout, found web page, found channel, friend or relative of Guild member, etc. What was his previous name, especially if it was Tolkien-inspired? What strengths does the team find in this person: ex: answered quickly or in depth, read a lot of Tolkien, plays well, peacemaker, speaks honorably in channel, does web work, might add to the Tolkien Site, whatever. Any comment you consider relevant.

    Feanor: Maedhros returned after a long absence, requested and got the re-name of Feanor. July 22, 2002 changed name after another long absence to Turgon. Promoted to Maia Menelvagor.
